Cobalt is built for teams. Once your workspace is configured, invite your recruiters and business managers so everyone sources, outreaches, and tracks candidates from the same platform. Each team member gets their own login, connects their own email and calendar, and works within a role that matches their responsibilities.

Open workspace settings

In Cobalt, click your workspace name in the top-left corner and select Settings. Then navigate to the Team section. You’ll see a list of all current members and their assigned roles.

Invite a member

Click Invite a member and enter the email address of the person you want to add. You can invite multiple people at once by entering several email addresses separated by commas.
Invitations are available on paid plans (Core, Copilot, Enterprise). The Free plan supports a single user.

Assign a role

Select the appropriate role for each invitee before sending the invitation. See the roles table below for a breakdown of what each role can access and do.

Member accepts and connects their accounts

The invitee receives an email with a link to join your Cobalt workspace. On their first login, they complete their own profile and connect their personal email and calendar accounts. This ensures that sequences are sent from their address and that Balt joins their meetings — not yours.

Roles and permissions

RolePermissions
AdminFull access: workspace settings, billing, team management, and all candidate and client data. Admins can invite and remove members and change any user’s role.
RecruiterSource, enrich, and message candidates; manage their own projects and pipeline. Recruiters cannot access billing or workspace-level settings.
Business ManagerAccess to all features including client-facing outreach, account management, and shared pipeline visibility across the team.

Important notes

  • Multi-user access is available on all paid plans — Core, Copilot, and Enterprise. The Free plan is limited to 1 user.
  • Each user connects their own email and calendar — this keeps outreach sequences personal and ensures meeting transcription works for each recruiter’s individual calls.
  • Enterprise plan supports SSO/SAML for centralized identity management and offers granular role configuration for larger or more complex team structures. Contact sales for details.
Each team member should connect their own email account so sequences are sent from their personal address. Outreach that comes from a real individual — not a shared inbox — gets better response rates.
